Have you ever ended a long workday feeling exhausted andunsure if you actually accomplished anything significant? Many people mistake busyness for productivity, but in reality, being ‘busy’ is often just another form of procrastination disguised as effort.
Those who know me well will know that I have a few pet peeves – one of them is the word “busy”.
Some people understand my frustration with this word, but for most, it may seem like I’m just being difficult. But here’s the reality: Being busy is a form of distraction. Being productive is about working toward meaningful goals.
In your business the difference between being busy and being productive determines whether you company will thrive or struggle. Let’s explore why:
- Busy people work hard, Productive people work smart
Busy teams focus solely on execution, tracking every detail but failing to prioritise strategies that optimise cash flow and thus profitability.Productive teams focus on automation, analytics and strategic decision-making to enhance efficiency and profitability.
Example (Treasury Management):
A treasury team that manually reconciles daily cash positions across multiple bank accounts may spend hours every day compiling reports. A productive team will automate this process with treasury management systems (TMS), reducing errors and freeing time for forecasting and liquidity planning. - Busy people say yes to everything, Productive people prioritise
Busy teams waste time in meetings without a clear agenda or pre-agreed outcomes; react to every opportunity, idea or distraction; and constantly need to put out fires.Productive teams set priorities, eliminate low-value tasks and those that do not contribute to achieving goals and ultimately their vision. Productive teams focus on strategic problem-solving.
Example (Business Operations):
A COO who says yes to every operational request will drown in inefficiencies. A productive COO prioritises digital transformation, automation and process optimisation, thus ensuring scalability and cost-effectiveness. - Busy people multitask, Productive people focus on high-value work
Busy teams try to juggle multiple spreadsheets, reports and emails all at once.Productive teams structure their day and implement dashboards and reporting that allow for easy review, dissemination (slicing and dicing of data) and decision making; focusing on one high-impact task at a time.
Example (Financial Management):
A CFO who switches between multiple spreadsheets and systems to manage cash flows, approving payments and reviewing reports is inefficient. A productive CFO prioritises digital transformation, automation, and process optimisation, while allocating dedicated time for financial planning, risk assessment and strategic meetings to drive growth. - Busy people are always in motion, Productive people measure results
Busy business leaders micromanage employees, rush through projects and focus on minor details.Productive leaders set clear goals, define KPIs and focus on measurable results.
Example (Business Growth):
A company focused on increasing transaction volume without analysing profitability per transaction may remain busy but unprofitable. A productive company will track profit margins, operational efficiency and long-term scalability.
How to Shift from Busyness to Productivity:
- Prioritise with the Eisenhower Matrix: Separate tasks into urgent vs. important to eliminate unnecessary work.
- Leverage Technology and Automation: Use AI and digital tools to handle repetitive finance and operational tasks.
- Measure Outcomes, Not Activity: Focus on KPIs that track results, not effort.
- Time Block & Batch Tasks: Structure your workday with focused time blocks instead of constant switching.
Focus on What Matters
At the end of the day, the goal isn’t to be the busiest company, team, team member or leader. The goal is to be the most effective! Productivity isn’t about doing more, but about doing the right things effectively.
Get ready to stand out! Next time you catch yourself saying “I’m busy,” ask: Am I actually making progress toward meaningful results?
If not, it’s time to shift from busyness to true productivity.
